REGIONAL OFFICERS

Some of the committee have taken the time to write some profiles on their history in the industry and background so that you can get to know them better, you can find these on the Committee Profiles page.

Committee Member Role description
President

Key Responsibilities

  • Oversee the general activities of the region
  • Oversee the implementation of Association policies in the region
  • Chair regional general meetings and committee meetings
  • Attend (or if unable to attend, delegate the duty to another regional member) the National Council meeting as the region’s representative
  • Co-ordinate and facilitate the roles of the regional committee members
  • Write a “President’s column” for each of the quarterly Regional Newsletter issues.
  • Write (or delegate) a column on regional activities for the Australian Alpaca review
  • Write (or delegate) a column for the biannual National Alpaca Newsletter
  • Update the Region’s entry in the AAA Industry Directory annually
  • Liaise with other Regional Presidents where appropriate
  • Attend as many regional events as possible in the official role of President

Vice-President

Key Responsibilities

  • Chair meetings in the absence of the President
  • Undertake duties as delegated by the President
  • Attend meetings as delegated by the President
  • Actively participate on the Executive to assist the President and other Members to achieve the identified regional goals
  • Facilitate the development of a Regional Strategic and Business Plan
  • Liaise with Regional Coordinators to ensure communication with and support from the Regional Committee and the membership
  • Liaise with Committee Members with specific portfolios, e.g. Marketing, Education, Animal Health and Welfare, Shows, Promotions etc to ensure activities are planned and executed and that reports to the Regional Executive, Committee and General Meetings are available.

Treasurer

Key Responsibilities

  • Keep the accounts for the region
  • Prepare a statement of activity for each regional meeting and report on this at the meeting
  • Liaise with the various show/event convenors re budget requirements for each show /event
  • Liaise with regional executive on likely expenditure for the coming year
  • Prepare an overall working budget for the region for the year
  • Pay any invoices from the Region’s cheque account (ensure cheques have 2 authorised signatures)
  • Issue any invoices in relation to monies owed to region
  • Issue receipts for moneys paid to region as appropriate
  • Ensure that any replacement of office holders for region is addressed in authorised signatories for cheque account
  • Liaise with AAA head office in respect to AAA Investment account (receive details of interest every 3 months)
  • At end of May each year submit preliminary accounts to AAA head office and auditor for compiling consolidated AAA accounts
  • At end of June each year submit final accounts to AAA head office and auditor for compiling consolidated AAA accounts
Secretary

Key Responsibilities

  • Receive incoming regional correspondence from the AAA office, NATCOM and outside parties
  • Process incoming correspondence by answering or directing to appropriate committee member.
  • Handle enquiries from general public, new breeders and breeders transferring to the region from other regions.
  • Receive and distribute notices from other regions regarding their activities.
  • Send to other regions information on NSW Central Coast/ Hunter Region events.
  • Take minutes at regional meetings and committee meetings and transpose into formal document to be distributed to members or committee members.
  • Send to Mail-out Officer Notices of regional general meetings and other documents that need to be distributed to members from time to time.
  • Liaise with the President and other committee members where appropriate.
  • Maintain an up-to-date list of regional members and their contact details
Website/Newsletter To produce an interesting and informative newsletter for the Central Coast & Hunter Region members and subscribers on a quarterly (Spring Oct, Summer Jan, Autumn April and Winter July) basis.

Key Responsibilities

  • To gather (or write) copy from regional members, vets and other people who may be of interest to the readers.
  • To present the material in a non-bias and non-self promotion way.
  • To ensure the majority of production costs are covered by the revenue raise by advertising.
  • To ensure all regional members/subscribers receive a copy of the newsletter promptly after the deadline
  • To manage and update the regional website
PR and Marketing

The PR and marketing committee member is responsible for ensuring that the region produces the right advertising material at the right time and developing marketing opportunities within the Region. They are the "press face" for the region.

Key Responsibilities

  • Liaise with McGregors – marketing firm engaged by NatCom– as RMR (Regional Marketing Representative)
  • Prepare advertisements etc for regional events using templates provided by McGregors
  • Make sure all promotional material uses approved current AAA “brand” eg logo, colours etc
  • Draft press releases and send to media
  • Be first point of contact for media generally, including local radio
  • Be contact person for members of public with queries about purchasing alpacas

Note – role can be shared by two people, one doing marketing (RMR) role and other doing PR i.e. dealing with media

Education

Key Responsibilities

  • Develop an understanding of the industry training needs and opportunities
  • Liaise with the Regional Coordinators re training needs
  • Liaise with AAA and industry leaders re training opportunities
  • Prioritise needs and opportunities with the Regional Committee
  • Develop a Training Plan and budget
  • Organise/facilitate/delegate regional training including cost, venues, times, travel, registration
  • Liaise with the Secretary/Communications Officer where necessary to co-ordinate communication with the members
